Creating an Access Key
Once you’re registered as a PA, you should create an Access Key. An Access Key is a unique, system-generated code that links to one Basic Control Account (BCA). It allows your employees to apply for Cards online and you to control the process. With this code, you’ll be able to review employee applications online and approve of decline them. You’ll also be able to generate email notices to other approving managers and Card applicants to advise them or provide a status update.
As a Program Administrator (PA), you can only have one Access Key per BCA. A BCA number can have multiple Access Keys, but only one can be assigned to each PA. When a new Access Key is generated by the same PA, the existing Access Key will expire automatically.
Apply for Card: Click here to learn about creating access keys and providing applicants with access keys and application links (also available in Spanish). Prior to finalizing creation of the access key, the PA will have the option to activate the Approval Routing option to receive email notifications of application submissions or to alert other managers regarding application submissions.
Global Apply for Card (new): Click here to learn about Global Apply for Card (GAFC) to get an overview on initiating and managing Card applications (also available in Spanish).
Approval Routings & Options (Apply for Card)
During the creation of access keys, if the PA selects “Activate Approval Routing”, they will have the opportunity to select from four Approval Routing options, each with a corresponding email, which is triggered when the Card Applicants submit their online Card application.
Response Required
- This is the most commonly used routing option for companies that require management approval. When the Applicant selects “Submit for Processing”, two emails are sent:
- One goes to the PA, advising them that an application has been submitted and is pending their approval via American Express @ Work® under PA Review
- The other goes to the Approving Manager advising them that they are required to respond to the message with their decision before the PA can take any further action on the application
Response Optional
When an Applicant selects “Submit for Processing”, two emails are sent:
- One to the PA, advising them that an application has been submitted
- The other, to the Approving Manager, notifying them of a pending application, and to only respond if the applicant should not have a Card
Adviser Approver
When the Applicant selects “Submit for Processing”, two emails are sent:
- One goes to the PA, advising them an application has been submitted
- The other goes to the Approving Manager, advising them an application have been submitted and letting them know that if they have concerns regarding the application, to contact the PA
PA Only
There will be only one email sent to the PA advising them that an application has been sent to their @ Work profile. It is highly recommended that the PA registers for the PA Only email alert, to receive an email notice when an application has been submitted.
Approval Routings & Options (Global Apply for Card)
When reviewing a summary of the application, you can choose to approve, edit, or route it back to the Card Applicant for further details, or cancel (decline) to proceed with the application. Review the Global Apply for Card user guide (also available in Spanish) to learn about approving Card applications.
